Replace the paper, the PDFs, and the one-off tools — without disrupting how you actually work.
A holistic engagement for small businesses ready to consolidate. We audit everything, redesign the operating layer, and stand it up — usually replacing five tools with one or two your team will actually use.

The building blocks.
Every engagement ships with the same foundation. We customize the model, the views, and the automations to match how your team actually works.
Operating layer audit
Every tool, every spreadsheet, every Dropbox folder your business actually runs on. What stays, what goes, what costs.
Single source of truth
Customer data, project data, financial data — in one place, properly modeled. No more 'check three systems.'
Document generation
Proposals, contracts, invoices, statements — generated from your data, branded, ready to send.
Team workflows
Onboarding, scheduling, time tracking, internal comms. Lean. Adopted. Documented.
Client experience layer
Portal, ticketing, project visibility — what your clients see when they interact with you. Polished.
Financial visibility
Books connected to operations. Pipeline forecast tied to cash flow. Reporting your accountant respects.
A great fit if you nod at most of these.
Right fit
- Small business 5–50 people, more than 3 years old
- Outgrown what got you here; tools are now actively in the way
- Have a competent team you want to retain
- Owner ready to commit to the change
- Currently running on a mix of QuickBooks (Desktop or Online), Excel, email, and paper — we work with what you've got
Probably not yet
- Pre-revenue startup — too early
- Owner doesn't actually want to change anything
- Need someone to run operations long-term, not build the system
- Looking for a rebrand — different service
The shape of an engagement.
You see working pieces every week. Custom integrations or messy data migrations can extend the timeline; we'll tell you up front if they will.

Common questions.
How much does this cost?
Modernization is bespoke by nature — we scope to your operating layer, team size, and the systems you're consolidating. See the [engagement-level explorer on /approach](/approach) for what modernization typically includes at each level (Focused, Standard, full Modernization, or Enterprise). The Diagnostic ($2,500+) is often the right first step to confirm scope. After launch, operating partnership starts around $400/month. All fixed-fee, scoped on the discovery call — no hourly billing.
What happens to our existing tools?
Some stay (the ones that work and your team likes). Some get replaced (the ones costing you time or money for what they do). We migrate data cleanly so nothing gets lost.
Will this break our business while it's happening?
No — we run the new system in parallel until you're ready to switch. Cutover happens in a planned window with a rollback plan. Nobody's day-to-day work stops.
Do we need to retrain everyone?
Most of your team learns the new system in 1–2 sessions because it's designed around how they already work. The owner and lead operators get a deeper training and the SOPs.
Will Wholeshift run the systems for us long-term?
Three options after the build: (1) you own and run, we're on call for occasional questions — no monthly fee; (2) Operating Partnership retainer ($400–$3,000/month fixed-fee) where we host, monitor, and ship improvements monthly; (3) Build Capacity retainer ($1,500–$8,000/month) for ongoing significant work. All fixed-fee. None hourly. Cancelable on notice.
Let's see if this is the right call.
Thirty minutes, no deck. We walk your current setup, find the leaks, and tell you straight if this is the right shift.
